Understand the purpose of the letter

Before writing the conclusion, make sure you understand the type of letter you are writing a formal, semi-formal, or informal. This will guide your tone and language choices in the conclusion.


Restate the purpose of the letter

In the conclusion part of the letter, briefly restate the main purpose or action you want the recipient to take. This reinforces the main message of your letter and reminds the reader of the reason you wrote it.

  • Formal Example: "I look forward to your prompt response regarding my request for a refund."
  • Semi-formal Example: "I hope we can resolve this matter soon and I look forward to hearing from you."
  • Informal Example: "I can't wait to catch up soon - let me know your thoughts!"


Express gratitude or politeness

In formal or semi-formal letters, showing politeness is key. Whether you are making a request or thanking someone, a polite phrase can enhance the tone of your conclusion.

  • Formal Example: "Thank you for your attention to this matter. I look forward to your prompt reply."
  • Semi-formal Example: "Thank you for your time, and I appreciate your consideration of this request."
  • Informal Example: "Thanks again for your help! Let me know if you need anything from my side."


Use an appropriate sign-off

The conclusion should flow naturally into your closing remarks. Depending on the type of letter, you can use a different sign-off.

Formal Letter:

  • "Yours sincerely," (when you know the recipient's name)
  • "Yours faithfully," (when you don’t know the recipient's name)

Semi-formal Letter:

  • "Best regards,"
  • "Kind regards,"

Informal Letter:

    • "Best wishes,"
    • "Cheers,"
    • "Take care,"

Maintain clarity and conciseness

Avoid introducing new ideas or information in the conclusion. It is important to keep the closing short and direct. This ensures that your message remains clear and focused. Do not over-complicate your conclusion; it should wrap up the letter neatly and effectively.
